September Festival Traders Information
Festival Dates: Friday 20th to Sunday 29th September
Weekend Traders: Friday 20th to Sunday 22nd and/or Friday 27th to Sunday 29th
Festival Market Location
The Festival is located in York City Centre and the market is located on Parliament Street (YO1 8RS), and St Sampson’s Square (YO1 8RN)

ON ARRIVAL, YOU MUST ENTER THE SITE VIA BLAKE STREET (if situated on Parliament St / St Sampsons)
Please note: The city centre has vehicle access restrictions. It is very likely you will receive a fine if you do not adhere to them
– York City Centre, no access between 10.30am and 5pm.
– Coppergate (close to the festival site and different to the above), No access between 8am to 6pm
**Please note there are currently roadworks at the end of Parliament Street (Barclays end) which means vehicle exit onto Piccadilly is not possible, and you will have to turn right onto High Ousegate**
Set Up
Traders must confirm with festival staff their pitch location before setting up. You may be asked to move if location is wrong.
Traders can arrive for set up:
1. Evening before your first day of trading – arriving between 5pm to 7pm
2. Morning of your first day of trading – arriving from 8am (festival opens at 10am)
Arrival outside of these times is not allowed unless you have pre arranged an alternative time with the festival.
During the festival traders can if needed, come to the site before 10am
Unless absolutely necessary, we would discourage you from trying to access the site after 5pm during the festival with the exception of set up / pack down days.

Stand Appearance
We expect stalls and display stands to be clean, professional looking, well constructed and with good signage. We reserve the right to refuse participation if these standards are not complied with.
For traders providing their own marquee / trailer, it is also very important that stands must be secure, even in adverse weather. It is the traders’ responsibility to provide appropriate weights and other equipment to keep your marquee / trailer and equipment stable and secure.
Please note that A boards are not permitted in York City Centre, and that display boards are within trading units
Trading Hours
Area A – Entertainment Marquee and Area C – St Sampsons Square
– 11am to 7pm, with the exception of the final Sunday which will be 5pm
– These areas are open until 9pm (with a live music programme each evening), and trading can be continued until then if you wish.
All other areas
– 10am to 5pm
– Trading can continue later than 5pm is you so wish but must be no later than 9pm
– Street food: we understand that demand will not be until later in the day and therefore don’t expect service from 10am. We do expect to see traders preparing and advertising their menus no later than 11am.
Licensing – For traders selling alcohol, you do not need a TENS
– The Festival’s Designated Premises Supervisor (DPS) is Michael Hjort (Festival Director), 07766651761
– Trading will be conducted under the Make It York Premises Licence (No: CYC – 010893)
– Challenge 25 system and display of poster are obligatory
– Please make sure all your staff are aware of the above points and have a copy of Alcohol Retailers Notice
Close Down / Pack Down
No vehicle should be on site before 5pm.
On the first Sunday for weekend traders and on the last day of the festival for all traders, stock and equipment must be removed from the site that night.
Security
Overnight security will be in place. However traders should take responsibility for their own space / products as the Festival shall not be liable for any damage to property / products.

Waste Disposal and Collection
The festival will provide bins for general waste, cardboard/paper recycling, and glass recycling.

Please note:
If you can take your own rubbish home it would be appreciated.
If you’re using our bins please take up as little space as possible by flattening boxes etc.
Vehicle Movement & Parking
Vehicle movement:
For contractors and traders setting up with trailers / large scale heavy equipment
1. All vehicles must report to the event team for briefing on arrival.
Any movement from the public highway on to the festival site must be under the guidance of the event team.
2. All vehicles must arrive at the site within the designated times allocated by the event team.
3. All vehicles must enter and depart the site by identified routes.
4. Vehicles must not exceed 5 mph on site and loading areas, and must not reverse unless supervised.
5. No vehicles will be allowed access to the site or to move on the site once the event has opened for public admission, and may only be moved under the guidance of site control.
For traders stocking / restocking stands
Vehicle access to the festival site will be prohibited. All vehicles should park on the public highway and stock should be carried to the stand. Traders are advised to come with appropriate staffing levels and/or equipment such as trolleys to help with the movement of stock.
Parking
No parking of trader’s vehicles are allowed on the festival site.
